Booking Terms and Conditions

These terms and conditions are incredibly important, therefore please read them carefully before placing a booking. Should anything be unclear, please do contact us and we will be more than happy to explain any of the points made below.

Our trading name is Alpenglow Travel Limited and we act as an agent on behalf of the Tour Operator, or Holiday Principal. Details of who is operating your chosen holiday will be explained at the time of booking.

We sell two types of holidays:

  1. As a retail agent on behalf of an ATOL licence holder Principal or Tour Operator. This applies to any holiday that includes flights in the price. Therefore any holiday on this website that is advertised as including flights will be run by an ATOL licence holder.
  2. As an agent for a tour operator selling holidays that do not include flights. These holidays are not protected by an ATOL licence.

How to make a booking:

Please contact us on 02036965660 to place your booking. The person calling to place the booking will be deemed the group leader. In order to confirm your booking, a deposit is to be paid at time of booking. If the holiday is within 12 weeks of departure, the total holiday cost must be paid at time of booking. If just the deposit was paid at time of booking, the total holiday cost must be paid 12 weeks before the departure date at the very latest. Failure to do so will result in your booking being cancelled. Once you have placed your booking, a confirmation email will be sent to the email address provided by the group leader, please read this carefully and inform us immediately if the information provided on the confirmation email is either incorrect or incomplete as amendments may not be possible at a later stage.

Your holiday is only confirmed on receipt of your invoice. Up to this point, there is no contract between the holidaymaker and the tour operator.

How to pay for your holiday:

We accept debit card and credit card payments. We can also accept electronic bank transfer payments.

Booking Conditions:

When you book a holiday through us, the terms and conditions which bind the holiday are those provided by the Tour Operator or Principal.  Your contract is with them. It is important that these terms and conditions are read carefully. Please be sure to ask us for copies in writing if you do not have them. You will be informed which Tour Operator will be supplying the holiday at the time of booking.

The person that places the booking will be called the “Group Leader”. The group leader must by authorised by the rest of the group to place the booking. The group leader is responsible for the total cost of the holiday (including any amendment charges or cancellation charges) and is also responsible for providing us with the names of the group as per passport. It is imperative that he have all guests’ full names, failure to provide these could result in extra charges being applied to the booking. It is also the group leader’s responsibility to provide any other important information such as dietary requirements or other special needs/requests.

If there are children in the group, please make us aware of their ages before placing a booking. The age provided must be based on the age of the child on the final day of the holiday. If incorrect ages are given at time of booking, the price for the child could increase even after the booking has been confirmed.

Holiday prices:

All prices shown will be based on two people sharing a standard room on a per person, per week basis. These prices do not include ski carriage, lift passes or any other service unless clearly stated. The prices shown on the website or in an email should be used as a guide only and can be changed at any time. There may also be room supplements and flight supplements applicable and you will be advised of these before booking.

As we sell package holidays with travel included (provided by the Tour Operator or Principal) and accommodation only holidays, please pay careful attention to what is included in the cost. This is clearly displayed on the website although flights seats will sell out from time to time. The catering included in the holiday is also clearly displayed on the website.

The price of the holiday is only confirmed on receipt of the invoice. However in very rare circumstances, some Tour Operators or Principals reserve the right to increase holiday costs due to unforeseen circumstances and this is clearly explained in their terms and conditions.

Holiday prices fluctuate daily, as such a holiday price may decrease after your booking has been placed. In this event, you are not entitled to a refund of the difference in holiday costs.

Special offers and discounted holidays:

Any applicable special offer must be confirmed at time of booking. It will also be itemised as a cost on your holiday confirmation email. Should any agreed discount or added value offers (such as free lift passes, ski hire etc) not appear of your confirmation email then you must inform us immediately as we may not be able to apply these after the booking has been placed.

Any special offer cannot be combined with another offer unless specifically stated. These offers can also expire at any time, with no warning given.

Late deal prices are shown for the cheapest room available with the cheapest flight route (if applicable). These prices are subject to change at any time and may still have additional supplements applied. You will be informed of these before making a booking.

Special Holiday Requirements:

If you are booking a specific accommodation based on the facilities advertised (TV, Hot-Tub, Sauna etc) , you must make us aware in writing that this amenity is a pre-requisite before a booking is made. On rare occasions, accommodation facilities may not be functioning or the Tour Operator may not be able to provide them due to unforeseen circumstances. These facilities cannot be guaranteed.

Dietary Requirements:

It is the group leaders’ responsibility to inform us of any special dietary needs of any of the group. You must make us aware of any requirements before a booking is placed as a supplementary charge may be applied by the Tour Operator. These requirements will appear on your invoice, if they do not, please let us know immediately.

Winter Sports Insurance:

Appropriate insurance is a pre-requisite for booking holidays. Please ensure that all party members have insurance as per your holiday operators terms and conditions.

Passport and Visa Requirements:

Please ensure that all party members have a valid passport and appropriate visa for all destinations. If you are unsure of what is needed then please contact your embassy, we are unable to provide advice on this matter.

Ski Carriage:

Please make us aware of any ski carriage requirements before a booking is placed so that we may allocate space for your skis on the flight. Failure to do so could result in the Tour Operator or Principal being unable to take your skis on the flight. Please be aware that should this happen, we are not responsible for any additional holiday costs and it does not entitle you to cancel the holiday.

Flight information:

The information at time of booking of any flights included in the price of the holiday is provisional. These same flight details will be included on your invoice but please be aware that these are subject to change and are only confirmed once you have received your tickets. It is therefore imperative that you check the flight times immediately on receipt of the tickets. On rare occasions, flight times may change after the tickets have been sent; we will contact you immediately on receipt of this information to advise you of the changes.
